How Luceo handles the required steps for a successful onboarding of a large organization with multiple member teams.
- USER ACCOUNT MIGRATION
- All key stakeholders must be on the kick-off call
- Client should come prepared
- What they want to use Luceo for
- Any materials they currently have
- Key personnel are introduced
- Customer Success: John & Eric
- Operations: Thom & Andy
- Action steps are established
- Follow-up email covers stated actions steps
- All members are CC'd on email
- Email provides links to key resources
- Assign organizational admin and backup (if available)
- They have required base training
- Live session with Success Team
- Calendar link provided on call
- Call will cover account migration
- Call will cover content requirements
- Create form for the Organization: (to be done on live training call)
- Staff = First, Last, email
- Parents = First, Last, Email
- Provide list of teams
- Provide a list of players (no teams, no emails, just names)
- Create form for Staff & Parents
- Staff = team name (dropdown) & player names (dropdown) sign-up for training
- Parents = Child name (dropdown), unique email address (not theirs)
- Provide gmail creation instructions, if needed
- USER CONTENT MIGRATION (on Live Training)
- Provide ADMIN with walkthrough of CMS Structure
- Provide Admin with form to build out structure with content
- CALENDER EVENT MIGRATION
- Client provides practice & game schedule
- Practice = Team Name, Days, Time, Location, start date, end date
- Games = Team Name, Opponent Name, Date, Time, Location
- Create form that automates this information
- Integrate into calendar functions
- Provide external Calendar Sync
- COACH ONBOARDING
- Verify Roster is correct
- Verify players have registered
- Do basic library Training
- Have coach send announcement to players
- PLAYER ONBOARDING
- Create a "start here" video for players
